How to build a WhatsApp chatbot for an accounting firm (2026, free to start)
You need your fee ranges, your service list and the filing deadlines you work to, a WhatsApp number on a phone you control, and about ten minutes.
Building and testing the bot is free with a 30 message demo and no card; putting it on WhatsApp runs on the Starter plan at US$29 a month, which opens with a 7 day trial.

What this bot does for an accounting firm
Five jobs it takes off your team, with the kind of exchange you will actually see in the transcript.
Qualifies new client enquiries
It asks what the business is, how many invoices a month, whether there are employees, and files the answers as a lead. You call back knowing whether it is worth an hour.
Customerhi, need an accountant for a small SL, what do you charge
BotHappy to help. Our monthly package for a small company starts at 180 plus tax and depends on invoice volume and payroll. How many invoices do you issue in a month, and do you have employees?
Answers fee questions with real ranges
The question every prospect asks first and most firms refuse to answer until a meeting. A published range filters out the mismatches and wins the ones who were going to fit.
Customerand just the annual tax return for a freelancer?
BotFor a freelancer with no employees, the annual return is 220 plus tax, or 95 a month if you want the quarterly filings handled too. That includes the filings themselves, not just the preparation.
Sends the document checklist automatically
The list you retype in an email twenty times a month. It arrives instantly, and the client starts gathering paperwork the same evening instead of next week.
Customerwhat do you need from me to get started
BotTo open the file we need: your ID, the company deed and tax number, last year's return, bank statements for the current year, and access to your invoicing software. Send them here and we will confirm within a day.
Reminds clients what is due and when
Deadlines are public, repetitive and constantly asked about. It answers from your filing calendar and tells the client what they have to send you and by when.
Customerwhen is the quarterly VAT due
BotThe quarterly VAT filing is due on 20 October for the July to September quarter. We need your invoices and bank statements by 10 October to file on time. Direct debit payments are taken on the 20th.
Handles the administrative back-and-forth
Where to send documents, whether an invoice was received, how billing works, who to ask for. The traffic that eats a junior's morning, answered without one.
Customerdid you get the invoices i sent friday
BotLet me pass this to your account manager, who will confirm today. If you sent them to the shared folder they are already in; if you sent them by email, forward the thread here and I will attach it.
Build it in eight steps
Steps one to five are free and take about ten minutes. Step six is where WhatsApp, and the plan, come in.
Create the account
Open chatbotgen.com and sign up with an email address or a Google account. No card is asked for here, and none is needed for anything in steps one to five.
You should see: The onboarding wizard, open on the template picker.
Pick the Sales Assistant template
Choose Sales Assistant. It loads a starting prompt, three suggested questions and a widget colour written for this kind of business, so you are editing a draft instead of facing an empty box. Every line of it is yours to change.
You should see: A new chatbot in your dashboard with the prompt already filled in.
Train it on material you already have
Open Knowledge and paste your website address; the crawler reads your public pages and turns them into the bot's memory. Then upload the documents you hand people anyway: the fee schedule, the onboarding document checklist, the filing calendar and the service descriptions.
You should see: Each source moves from processing to trained. A twenty page site is usually done in two or three minutes.
Write down the answers your website never did
Still in Knowledge, open Q&A and add the questions your staff answers on the phone all day. For a firm that is usually: what monthly bookkeeping costs for a small company, which documents a new client has to send, when the next filing deadline falls, and how billing works. Two sentences per answer is enough; the model writes the rest in its own words.
You should see: Each pair listed as its own source, trained within seconds.
Test it before anyone else does
Use the preview chat on the chatbot page and ask what a real customer asks. Start with "What do you charge to handle monthly bookkeeping for a small company?" Then ask the same thing badly, with a typo and no punctuation, because that is how it will arrive.
You should see: A correct answer with the source it came from. Wrong or vague? Fix the source, not the prompt. Your free demo covers 30 messages, which is enough for this.
Connect WhatsApp by scanning a QR code
Connect your existing WhatsApp number in about a minute by scanning a QR, with no Meta Business verification. Open the chatbot's WhatsApp tab, press Connect, and a QR code appears. On the phone that owns the number, open WhatsApp, go to Settings, Linked devices, Link a device, and scan it. No Meta Business account, no verification form, no approval queue. This step runs on the Starter plan, US$29 a month, opening with a 7 day trial.
You should see: The status flips to Connected within a few seconds, and the next customer message is answered on your own number. Keep that phone charged and online, exactly as it already sits on your counter.
Decide when a person takes over
A partner or account manager should take the conversation as soon as somebody describes their own numbers, because from that point every answer is advice. You do not need a dashboard for this. If you answer a customer yourself from the linked phone, the bot records your message, steps back from that conversation for 30 minutes, and each further reply of yours pushes the pause forward. It resumes quietly, without announcing itself.
You should see: Your own replies appearing in the conversation history in the dashboard.
Go live, then read the first fifty conversations
Put the number on your website, your Google Business profile and your Instagram bio. Then read the transcripts. Every question the bot did not have an answer for yet is one Q&A pair away from being answered forever, and the first week is where the whole quality of the thing gets decided.
You should see: A Conversations tab filling up, and a growing share of messages answered end to end without you.
What to feed it
A bot is only as good as the material behind it. These are the sources that answer the most messages for an accounting firm, in the order worth doing them.
Your fee schedule
Ranges per service and per client size. Publishing a range is the whole point: it does the qualification your first call currently does.
The onboarding checklist
Every document a new client has to provide, by client type. This is the single most-repeated message in an accounting firm.
The filing calendar
Deadlines for the year with your own internal cut-offs, which are the dates clients actually need to know.
Your service descriptions
What bookkeeping, payroll, tax and advisory each cover in your firm, and what is billed separately.
How you work
Which software you use, how documents get to you, response times, who a client's contact is, and how you invoice.
The questions you answer for free every week
The general ones with a standard answer: how to register as a freelancer, what a company needs to start invoicing, which expenses are deductible in principle.
Set it up so customers trust it
Three settings that separate a bot people keep writing to from one they stop trusting. Each is a line in the prompt, and each one is a minute of work.
Route these to your team
- Route advice to a partner. The bot answers fees, deadlines and document lists, which is the work your firm repeats all day; the moment a client describes their own figures, a person takes the thread.
- Let your team read documents, returns and numbers. The bot tells the client exactly where to send them.
- Let a person confirm a filing, a payment received or a deadline met.
- Keep client financial data in your secure channel, and have the bot point clients straight to it.
It answers in your customer's language
It replies in the language the enquiry arrives in, across the thirteen the model handles well. For a firm serving foreign-owned companies or expatriate freelancers, the first conversation stops depending on who is in the office.
Hand the conversation to a person when
- Anybody describing their own figures, since from there every answer is advice.
- An existing client asking about their own file, filing or invoice.
- Anything urgent with a deadline attached, which needs a person who can act.
What people ask before they build one
Is it safe for a regulated profession?
It is, as long as you keep it administrative. Fees, deadlines, document lists and how you work are public information you repeat all day. The line to hold is advice: the moment a client describes their own situation, the bot's job is to fetch a human, and the prompt should say so explicitly.
Do I need a Meta Business account or the official WhatsApp API?
No. You connect by scanning a QR code from the phone that owns the number, the same way WhatsApp Web does. There is no Meta Business verification, no approval queue and no per-message fee.
Will it discourage clients who wanted a personal service?
The opposite, when it is set up honestly. It says it is an assistant, answers the logistics instantly, and puts a named person on anything real. What annoys clients is a firm that takes two days to answer a question about a deadline.
What does it cost to run?
Building and training the chatbot is free, with a 30 message demo to test it and no card. Connecting WhatsApp is on the Starter plan: US$29 a month for 3 chatbots and 2,000 messages, opening with a 7 day trial that does ask for a card. Prices are flat, not per message.
Can it read the documents clients send?
Train it on your published material and let it do the routing: it tells each client exactly which secure channel to use and which documents to send. Client files stay where your practice already protects them, and you lose the email that currently costs a junior half a morning.
What happens when I answer a customer myself?
The bot gets out of the way. Your reply, typed on the linked phone, is recorded in the conversation and the assistant stops answering that thread for 30 minutes; every further message from you pushes the pause forward. It starts answering again quietly once the conversation has gone cold, so it can never talk over you mid-sentence.
Build it now, decide later
The Sales Assistant template, your own material and ten minutes. Nothing to install and no card for the free build.
