Catalog (CSV or Google Sheet)

Upload a CSV or link a public Google Sheet with your lots, properties, rooms, menu or products. Your chatbot searches it with filters and answers with cards — and never invents items.

The Catalog tool lets your chatbot search a list that you own: land lots, properties, hotel rooms, menu items, products or services. A visitor asks "Do you have lots under 30,000 dollars in the north zone?" and the bot answers with the matching items from your list — as cards with photo, price and details on the web widget, and as short text with links on WhatsApp and Telegram.

The bot only shows items that are in your catalog. It does not invent items, prices or availability. Items marked sold or reserved are shown as not available.

Before you start

  • Plan: Catalog is part of AI Tools, on the Growth plan or higher.
  • Limits: up to 5 MB and 5,000 rows per catalog on Growth (8 MB and 20,000 rows on Business). Up to 10 catalogs per chatbot.
  • Your data: a CSV file, or a Google Sheet that is shared as "Anyone with the link" or published to the web. We never ask you to sign in with Google.

Step 1 — Prepare your list

Put one item per row and the column names in the first row. Any columns work. We recognize these names automatically, in English or Spanish:

What it is Column names we detect
ID / code id, sku, code, código, ref, lote
Title title, name, nombre, product, producto
Description description, descripción, details
Price price, precio, cost, valor, tarifa
Currency currency, moneda
Status status, estado, availability, disponibilidad, stock
Image image, imagen, photo, foto
Link link, url, enlace

Every other column (size, zone, bedrooms, financing…) becomes a filter the bot can use.

Tips:

  • Prices can be written as 45000, 45.000, 45,000.50, USD 45,000 or $ 45.000.
  • Status: available, disponible, reserved, reservado, señado, sold, vendido, agotado are understood. Any other word (for example "coming soon") is kept as you wrote it.
  • Images and links must start with https:// (or http://). Other values are ignored.
  • Semicolon-separated files (common when Excel uses a comma for decimals) work too.

Want an example? Download the sample: lotes-bosque-alto.csv — 12 land lots of a fictional development, with size, price, status, financing, zone and image.

Step 2 — Turn on the tool

  1. Open your chatbot and go to the Tools tab.
  2. Find the Catalog card and click Enable.
  3. Optional settings:
    • Items per answer — how many items the bot gets per search (default 5, max 10).
    • Card button text — the label of the link button on each card. Empty means "View details" (or "Ver más" for a Spanish catalog).
    • Extra instructions — one rule for the bot, for example "Prices do not include taxes."
  4. Click Enable Tool. A new Catalog tab appears in the chatbot menu.

Step 3 — Add your catalog

Open the Catalog tab and fill in Add a catalog:

  1. Name — for example "Lots for sale". The bot uses this name.
  2. Default currency (optional) — used when the price column has no currency.
  3. Choose the source:
    • Upload CSV — select the file.
    • Google Sheet link — in Google Sheets, click Share, set General access to "Anyone with the link" (Viewer) and copy the link. Paste it here. A "Publish to the web" CSV link works too.
  4. Click Add catalog. The import starts at once; the page updates by itself.

Step 4 — Check the column mapping

On the catalog page you see:

  • Column mapping — which column is the title, price, status, image and so on. Fix anything we guessed wrong and click Save mapping and re-import. You don't need to upload the file again.
  • Preview — the first rows of your file, with the role of each column.
  • Filters the bot can use — the other columns, with their type (number range, list of values, or text).
  • Rows that need attention — for example a row without a title (skipped), a price that is not a number (left empty), or a duplicate ID (skipped). Fix them in your file and import again.
  • Items — every imported item, with search.

Step 5 — Keep it up to date

  • Google Sheet: the catalog syncs by itself every 6 hours (change it in Settings, from 1 to 168 hours). Click Sync now after a big change.
  • CSV: click Upload new CSV to replace the items. If the columns did not change, your mapping is kept.

If an import fails (for example, the sheet is no longer public), the bot keeps using the items from the last good import, and the error shows on the catalog page.

What visitors see

  • Web widget: a short answer plus cards — photo, title, price, status, up to 4 details, and a link button when the row has a link.
  • WhatsApp and Telegram: text only. The bot lists at most 3 items, one line each, with the link.

Example

Visitor: "Hi! Do you have lots in the south zone under 25,000?"

The bot calls the catalog search with price_max: 25000 and zona: Sur, and gets 4 lots back: B-01, B-02 and B-04 available, and B-03 sold. It answers:

We have 3 lots available in the south zone under USD 25,000: B-04 (350 m², USD 19,800, up to 48 installments), B-01 (380 m², USD 22,000, next to the club house) and B-02 (400 m², USD 23,500, facing the plaza). B-03 is already sold.

…with a card for each lot.

Good to know

  • The bot reads a short summary of your catalog (names, counts, columns, price range), never the whole list. For every question about items it runs a search, so answers always match your latest import.
  • Catalog search is separate from Training. You don't need to retrain the chatbot after a catalog import.
  • To stop using a catalog, delete it from the Catalog tab, or turn off the tool in Tools.
